WhatsApp auto reply for small business: what actually works

A customer messages your salon at 8pm. Nobody replies, and by morning they have booked somewhere else. An auto reply is the cheapest fix there is — and the free WhatsApp Business app already has one built in. Here is how to set it up properly, and the honest point at which an away message stops being enough.

Set up an away message in about ten minutes

  1. 1

    Get the right app

The regular WhatsApp app cannot do this. Download the free WhatsApp Business app (it exists for Android and iPhone), keep your same number, and register your business on it. Your existing chats come across.

  2. 2

    Write your greeting message

Go to Business tools → Greeting message. This is sent automatically to anyone who messages you, including first-time customers. Keep it short and useful: who you are, when you will reply, and the one thing people always ask. For example: “Thanks for messaging Cnr Cafe! We answer messages between 8am and 4pm — our menu and today’s specials are on our page. For urgent bookings, call the shop.”

  3. 3

    Write your away message

Under Business tools → Away message, write what gets sent outside your hours. Set your actual opening hours under Business tools → Business hours and schedule the away message to “Outside of business hours” — that way it fires on its own every evening and weekend, without you touching it.

  4. 4

Save your five most common answers as quick replies

Under Business tools → Quick replies, save shortcuts for the answers you type over and over — prices, walk-in rules, parking, cancellation policy. Type “/” in a chat and the shortcut appears. This is the single biggest time-saver in the free app, and most owners never find it.

The honest limit of an auto reply

An away message tells the customer you are asleep. It does not tell them what a haircut costs, whether you have a slot tomorrow at ten, or if you do keratin. If you answer messages yourself within a few minutes during the day, the free setup above is genuinely all you need — do not pay anyone for more.

The gap opens when messages arrive while you are working, and they arrive exactly when you are busiest — mid-cut, mid-lunch-rush. Each unanswered message is a booking you never see. That is the case for an assistant that actually answers in your prices and hours instead of just acknowledging the message: it picks up the 11am enquiry while you are with a customer, and takes the booking instead of promising someone will reply later.

If you want to know what that feels like before paying anything, try the Iterate assistant on your own business details in your browser — you type in your services and hours, then chat with it exactly as a customer would. The first week is free and no card is involved; after the week it is $100 a month per business, cancel any time.

Three mistakes to avoid

  • A greeting with no information. “We got your message, we’ll get back to you soon” answers nothing. Put your reply-hours and your most-asked fact in the message itself.
  • Away hours that do not match reality. If the away message says you reply at 8am and you reply at noon, customers learn your auto reply lies — and stop waiting.
  • No way out for urgent people. Always name the phone number or the person to call when it genuinely cannot wait.

Once your away message is live, you have stopped losing the overnight enquiries. The daytime ones are a different problem — hear how an assistant handles them, on a sample salon or café, in your own prices and hours.

Questions people ask

Does a WhatsApp auto reply cost anything?
No. The free WhatsApp Business app includes greeting messages, away messages and quick replies — everything in the steps above costs nothing but the ten minutes to set it up.
What is the difference between a greeting message and an away message?
A greeting message fires when someone messages you for the first time, or after seven days of no contact. An away message fires outside the business hours you set — evenings, weekends, holidays. You want both: the greeting welcomes new customers at any hour, the away message manages expectations when the shop is closed.
Can an auto reply take bookings?
Not by itself. It sends one saved text — it cannot look at your diary, quote your prices or confirm a slot. That is the line between an away message and an assistant that actually reads your services and hours and answers the question in the message.
How fast should a small business reply on WhatsApp?
Within the hour during opening time is a good rule of thumb — customers message three shops and book the first useful answer they get. An auto reply covers the hours you cannot be that fast.
